Free, ready-to-use IT onboarding SOP template for setting up new employee accounts, devices, and system access. Copy, customize, or create it in Folge with screenshots.

What is an IT Onboarding SOP?

An IT Onboarding Standard Operating Procedure (SOP) is a documented process that IT teams follow to provision accounts, configure devices, set up system access, and ensure new employees have everything they need to be productive from Day 1.

This template covers the complete IT onboarding workflow — from receiving the new hire request through provisioning accounts, configuring hardware, granting application access, and conducting the IT orientation. It ensures nothing gets missed regardless of who handles the setup.

📋 Template Overview

Purpose: To ensure every new employee receives consistent, complete IT setup — accounts, devices, access, and orientation

Scope: All IT staff handling new hire technology provisioning

Time Required: 2-4 hours per new hire (begin 3-5 days before start date)

Tools Needed: Active Directory / Google Workspace Admin, MDM (Intune, Jamf), Help Desk Software, Asset Management System

Step-by-Step Procedure

1
Receive and Review the New Hire Request

Action:

  • Receive the new hire notification from HR (via HRIS, email, or onboarding ticket)
  • Confirm the following details:
    • Full name and preferred name
    • Start date and location (office / remote)
    • Department, role, and manager
    • Required applications and access levels
    • Hardware requirements (laptop type, monitors, peripherals)
  • Create an IT onboarding ticket and assign it to the setup technician
  • Confirm hardware availability in the asset inventory — order if needed

⚠️ Important: Begin setup at least 3-5 business days before the start date to allow time for shipping, procurement, and testing.

Expected Outcome: Onboarding ticket created with all requirements, hardware reserved or ordered

2
Provision User Accounts

Action:

  • Create the user account in Active Directory or Google Workspace:
    • Set username per naming convention (e.g., firstname.lastname)
    • Generate a secure temporary password
    • Assign to the correct OU/organizational unit
    • Add to department and role-based security groups
  • Set up email account and add to:
    • Department distribution lists
    • All-company mailing list
    • Shared mailboxes (if applicable)
  • Create accounts in required applications:
    • Communication: Slack, Teams, Zoom
    • Project management: Jira, Asana, Monday
    • Department-specific tools per the access matrix
  • Enable MFA/2FA on all accounts
  • Set up VPN access if the employee is remote

Expected Outcome: All user accounts created, groups assigned, MFA enabled

3
Configure and Deploy Hardware

Action:

  • Prepare the device:
    • Image or reset the laptop/desktop with the standard company build
    • Install required software (OS updates, antivirus, VPN client, office suite)
    • Enroll in MDM (Intune, Jamf, or Mosyle) for device management
    • Configure encryption (BitLocker or FileVault)
  • Set up peripherals:
    • Monitor(s), keyboard, mouse, headset
    • Docking station or adapter cables
    • Webcam if not built-in
  • Register the device in the asset management system:
    • Serial number, model, purchase date
    • Assigned user and department
    • Warranty information
  • For remote employees: package and ship equipment with tracking

Expected Outcome: Device configured, enrolled in MDM, registered in asset system, and delivered or ready for pickup

4
Test and Verify Setup

Action:

  • Log into the device with the new user credentials and verify:
    • Email sends and receives correctly
    • VPN connects and accesses internal resources
    • All required applications open and function
    • Printers (if in-office) are connected
    • Network drives / cloud storage are mapped
  • Test all provisioned accounts:
    • Log into each application with the user credentials
    • Verify correct permissions and access levels
    • Confirm MFA is working
  • Document any issues and resolve before the start date

Expected Outcome: All systems tested and verified working; any issues resolved

5
Conduct IT Orientation (Day 1)

Action:

  • Meet with the new hire (in-person or video call) and cover:
    • Hand over equipment and credentials
    • Walk through how to log in, change their password, and set up MFA
    • Show them how to access key tools (email, chat, project management)
    • Explain IT support channels — how to submit tickets, who to contact
    • Review security policies: acceptable use, password rules, phishing awareness
  • Provide a quick-reference card or guide with:
    • WiFi network name and login
    • VPN setup instructions
    • Help desk contact info and ticket submission link
    • Key application URLs
  • Answer questions and schedule a follow-up check-in for the end of Week 1

Expected Outcome: New hire has working access to all systems and understands IT policies and support channels

6
Week 1 Follow-Up and Close

Action:

  • Check in with the new hire at the end of their first week:
    • Ask if they can access everything they need
    • Resolve any outstanding access or equipment issues
    • Confirm they know how to reach IT support
  • Update the onboarding ticket with:
    • Accounts created (list)
    • Hardware assigned (serial numbers)
    • Access verified date
    • Any issues encountered and resolutions
  • Close the onboarding ticket
  • Notify HR that IT onboarding is complete

Expected Outcome: New hire is fully set up, ticket documented and closed, HR notified

Best Practices for IT Onboarding

✓ Start Early

Begin IT setup 3-5 days before the start date. Nothing kills a first impression like a new hire sitting at an empty desk with no login on Day 1.

✓ Use an Access Matrix

Maintain a matrix mapping roles to required applications and permission levels. This eliminates guesswork and ensures consistent access provisioning.

✓ Automate Where Possible

Use provisioning scripts or SCIM to auto-create accounts in SaaS tools. Automate group membership based on department and role to reduce manual steps.

✓ Test Before Handoff

Always log into the device and test every account before giving it to the new hire. Five minutes of testing prevents hours of Day 1 troubleshooting.

✓ Security from Day 1

Enable MFA immediately on all accounts. Cover phishing awareness and acceptable use policy during the IT orientation — don't defer security training.

✓ Pair with Offboarding

Every account you create during onboarding needs to be revoked during offboarding. Maintain a checklist that mirrors both processes for consistency.

Frequently Asked Questions

How far in advance should IT start onboarding a new hire?

Start 3-5 business days before the employee's first day. This gives enough time to order hardware if needed, create accounts, configure devices, test everything, and ship equipment for remote employees.

What accounts should be set up during IT onboarding?

At minimum: email, chat/messaging (Slack or Teams), VPN, and any department-specific tools. Create a role-based access matrix that maps each job title to the specific applications and permission levels they need.

How do I onboard remote employees from an IT perspective?

Ship pre-configured equipment with tracking, include printed setup instructions, schedule a video call for Day 1 IT orientation, and use remote MDM tools to manage the device. Test VPN connectivity and all applications during the video call.

How do I create a visual IT onboarding guide with screenshots?

Use Folge to capture your screen as you walk through each step — creating accounts in Active Directory, configuring devices, setting up applications. Folge takes screenshots automatically, and you can annotate them with instructions. Export as a PDF or HTML guide for your team.
