What a Good User Manual Contains

A good user manual is organized by task, not by feature list. Users open a manual with a specific goal, such as "how do I export a report," so the manual should let them jump straight to that task rather than reading through the whole product from the top. Group instructions into short, numbered sections that each solve one problem.

Every step that involves clicking, typing, or navigating a screen should be paired with a screenshot. Text alone forces the reader to guess what the interface looks like; a screenshot for every step removes that guesswork and cuts support tickets from users who got lost partway through. Annotate each screenshot with arrows or highlights that point at exactly what to click.

Finally, a user manual is only useful if it's current. Add a revision history, note the product version it applies to, and set a reminder to review it whenever the interface changes. An outdated manual with wrong screenshots is often worse than no manual at all, since it actively misleads the reader.
